Booking accommodation for a trade fair should be simple and hassle-free. Here, we answer the most common questions about how to request an apartment, confirm availability, make payments, and what to expect after booking.   • How can I book accommodation?

    FairRoom4Rent offers a wide range of accommodations, including apartments, rooms, and houses. However, not all available properties are listed on our website. The listings you see are just examples. To book, simply fill out the inquiry form, specifying your requirements. Our team will then select and send you several options that best match your needs. Once you choose a suitable accommodation, we will guide you through the booking process.

  • How are prices determined?

    Each accommodation has a different rate based on its size, location, and available facilities. Prices are calculated per day, considering the length of stay and the number of occupants. Our pricing structure is designed to offer the best value for guests.

  • What does the price include?

    The price includes accommodation, as well as utilities such as water, gas, and electricity. Additionally, clean sheets and towels are provided for the duration of your stay.

  • When is my booking confirmed?

    Your booking is confirmed upon receipt of payment. Payment can be made via bank transfer or PayPal. Once payment is received, you will receive a confirmation email containing all booking details, including the address of the accommodation and the contact information of the landlord/landlady.

  • What are the payment terms?

    Payment terms depend on trade fairs:
    1. Full advance payment (100%) must be made via bank transfer within 3 working days after invoicing.
    2. For some bookings, a deposit payment (50%) must be made within 3 business days after invoicing, and the balance (50%) must be paid 28 days before arrival.FairRoom4Rent exclusively accepts advance payments. Cash payments on arrival are not possible.

  • What is the cancellation policy?

    The FairRoom4Rent service fee is non-refundable.No refunds are given for cancellations (100% of accommodation charges will be retained).A "no-show" is treated as a 100% cancellation, meaning no refund will be issued.If you leave before your arranged check-out date, no refunds will be provided.Changes to your booking (e.g., dates, number of guests, or accommodation) may incur a €50 fee. All changes must be requested via email.

  • Are there additional charges?

    Additional charges may apply if:You request breakfast after arrival (payment is made directly to the landlord in cash).You arrive with more guests than indicated in your booking (the additional cost is payable in cash upon arrival).

  • What are the arrival and departure procedures?

    Provide your correct arrival time at least two weeks before your stay.Contact the landlord/landlady at least 48 hours before arrival to arrange key handover.Arrival is usually between 15:00 – 21:00. If arriving by plane or car, call your contact person when you arrive at the airport or one hour before arrival.Departure must be by 11:00 unless a late check-out is agreed upon, which may incur an additional fee.Early or late check-in may also incur an extra charge.

  • Is cleaning included?

    Yes, the accommodation is cleaned before your arrival. Additional cleaning services are available for an extra fee. Guests must leave the accommodation in a tidy condition before departure; otherwise, an additional cleaning charge may apply.

  • Can additional guests stay in the accommodation?

    No, only the booked number of guests is allowed. If additional guests need to stay, inform us immediately. Unauthorized guests are not permitted.

  • Are pets allowed?

    No, pets are not allowed in the accommodation.

  • Is smoking permitted?

    No, smoking is strictly prohibited inside the accommodation.

  • How is breakfast handled if included?

    If you booked an apartment with breakfast, the landlord will store the breakfast in the fridge and refill it regularly.If you booked a room with breakfast, it will be prepared for you.

  • What should I do if I have complaints?

    If you experience any issues, send us an email with photographic proof within 24 hours after check-in. Complaints submitted later will not be considered.
